For those registering for the Virtual Conference, this year we will offer the opportunity for three of the workshops to be viewed remotely. To maintain the small group dynamic however, only in person attendees will be able to interact with the tutors during the live session.

All you need to know about Registration:

  • Registration is open for the In person conference until 31st May 2026 and for the Virtual Conference conference until Friday June 5th 2026
  • All Registrations must be completed online.
  • In order to qualify for EAZWV member discounts, registrants must have paid in full the 2026 memberships fees before registering. Registrants will only be able to access member discounts if logged in to the member area of the EAZWV website.
  • AAZV members are also eligible for discounts. Registrants must have paid in full the 2026 AAZV membership and must supply the 8 digit AAZV membership number as part of the registration process.
  • All registrants are eligible for an early bird discount if they register and pay in full prior to Sunday March 31st 2026.

Please note that the guest fee does not include the participation in the conference sessions. Guest fees will be charged at 21% VAT as they do not qualify for an educational exemption.

CANCELLATION policy - applies to both in person and virtual Conferences:

Cancellation and Refund Policy
(Last updated: November 2025)

This policy outlines the cancellation and refund terms for participation in the EAZWV 2026 Conference. By registering for the conference, participants agree to the conditions below.

1. Cancellation or Change by EAZWV
If the in-person conference must be cancelled by EAZWV due to official restrictions that prevent use of the venue or travel to it, the conference will be held online instead, following the same programme and schedule (see Virtual Conference Information).
All in-person registrations will automatically be transferred to the virtual conference, and participants will receive a refund of the difference in registration fee. Refunds will be processed within 30 days of notification.
EAZWV is not responsible for reimbursement of travel, accommodation, or other costs incurred in connection with the in-person event.

2. Participant Unable to Travel Due to Restrictions
If a participant registered for the in-person conference is unable to travel due to official, mandatory restrictions (e.g., government-imposed travel bans, quarantine requirements, or border closures), they must contact the conference organisers by email, providing details of the relevant restrictions.
Their registration will be transferred to the virtual conference, and the difference in registration fee will be refunded according to the cancellation schedule below.
If their paper is still under review, it will be withdrawn. If it has already been accepted for presentation, they are expected to honour this commitment by providing a recording of their talk or poster presentation.
Please note: Personal, employer-imposed, or voluntary travel decisions do not qualify as mandatory restrictions under this policy.

3. Participant Cancellation (Other Reasons)
In all other cases of participant cancellation, refunds of registration fees will be made according to the following schedule:
Before 15 March 2026: 100% refund, minus a €50 handling fee.
15 March – 19 April 2026: 50% refund, minus a €50 handling fee.
After 19 April 2026: No refunds possible.
All refunds are subject to a €50 handling fee.

4. Substitutions
Registrations may be transferred to another individual until 19 April 2026 (€50 handling fee). Substitutions must be requested by email and confirmed in writing by the organisers.

5. Virtual Conference Registrations
For participants registered for the virtual conference, the same refund schedule applies as above.
EAZWV cannot be held responsible for temporary technical issues, connectivity problems, or other disruptions beyond its reasonable control during the virtual event.

6. Force Majeure / Circumstances Beyond Control
If the conference cannot take place as scheduled due to circumstances beyond EAZWV’s reasonable control (including but not limited to natural disasters, strikes, war, civil unrest, public health emergencies, or failure of essential utilities), EAZWV reserves the right to modify, postpone, or cancel the event.
In such cases, EAZWV’s liability will be limited to refunding registration fees, less reasonable administrative costs.

7. Cancellation Process
If you wish to cancel your registration, please contact the conference organisers by email at [conference@eazwv.org] and indicate whether you wish to convert your registration from in-person to virtual.
Your cancellation or change request is not valid until you receive written confirmation from the conference organisers. Confirmation will normally be sent within five working days of your request.
