For those registering for the Virtual Conference, this year we will offer the opportunity for three of the workshops to be viewed remotely. To maintain the small group dynamic however, only in person attendees will be able to interact with the tutors during the live session.

All you need to know about Registration:

  • Registration is open for the Virtual Conference conference until Friday May 9th 2025
  • All Registrations must be completed online.
  • In order to qualify for EAZWV member discounts, registrants must have paid in full the 2025 memberships fees before registering. Registrants will only be able to access member discounts if logged in to the member area of the EAZWV website.
  • AAZV members are also eligible for discounts. Registrants must have paid in full the 2025 AAZV membership and must supply the 8 digit AAZV membership number as part of the registration process.
  • All registrants are eligible for an early bird discount if they register and pay in full prior to Sunday March 2nd 2025.

Please note that the guest fee does not include the participation in the conference sessions. Guest fees will be charged at 21% VAT as they do not qualify for an educational exemption.

CANCELLATION policy - applies to both in person and virtual Conferences:

The following cancellation policy is in place:

  • If the in person conference needs to be cancelled by EAZWV due restrictions impacting the conference venue / travel to the conference venue we will hold the conference online instead using the same program and schedule (see virtual conference information). In person registrants will have their registration transferred to the virtual conference and refunded the difference in registration fee.

  • If a participant is registered for the in person conference and is unable to travel due to mandatory restrictions, they must contact the conference organisers by email giving details of the relevant restrictions. They will have their registration transferred to the virtual conference and refunded the difference in registration fee. If their paper is still in review stage, it will be withdrawn. If however it has already been confirmed as accepted for presentation, they will be expected to honour this commitment and present it virtually.

In all other cases of cancellation by the participant, refund of registration fees will be as follows:

  • For cancellations before March 23rd 2025: 100% refund minus €40 handling fee.
  • For cancellations between March 23rd 2025 and April 27th 2025: 50% refund.
  • For cancellations after April 27th 2025: refunds are not possible.

Important: If you have to cancel your registration, please contact the conference organisers by email and indicate if you would like to change your registration from in person to virtual. Please note your cancellation is not valid until you have received a confirmation by email from the conference organisers.
